  1. SEND EMAIL
Create a RULE and use the ‘Send an email’ action to output data automatically based on a Job Title, Tag or custom conditions. Insert your data within the email body.

NOTE: You can use Third-party applications to extract the data in your email in order to update other systems or output to CSV / Excel. Example third-party applications include Parserr, Microsoft Flow and Zapier.

  2. OUTPUT TO PDF

Create a RULE and use the ‘Generate a PDF attachment’ action to output your data to a customised PDF.

NOTE: Use this action with the ‘Send an email’ action to send to one or multiple recipients (internal or external).

Use this action with third-party applications like Microsoft Flow or Zapier to automatically send this PDF to your OneDrive, Google Drive or Dropbox account.

  3. NOTIFY WEB SERVICE

Create a RULE and use the ‘Notify Third Party Web Service’ action to inform another service/system to retrieve the Job data.

This action essentially sends the Job ID to the web service (an API ping) which then processes the SOAP API call ‘Get Job By ID’. All the data can then be retrieved and stored in the third-party system including attachments (Photos, Signatures, Sketches and PDFs).

NOTE: This rule action should be based on the rule condition of ‘Job Status IS Completed’.

  4. LOG FILE

Create a RULE and use the ‘Append to Log’ action to output data to a CSV or Text file. You can define the column headings and customise the data output i.e. decide what data to output and which column to output to.

The Append to Log file will record each Job as a new row within the file. You can further configure this action to output data based on other conditions like ‘By month’, ‘By user / vehicle’, ‘By Area’ etc.

The log files are created and available to download from the Document Store.  This screen is located under Settings therefore only accessible by users with the ‘Administrator’ role.

NOTE: The Append to Log action does not output attachments and this facility has proven to not be robust for frequent Job updates from multiple users and will be deprecated later this year (see Future release info below).

For those customers who are using the All On Mobile SOAP API:

...

All On Mobile will include a new data extract facility (DEF) to replace the Append to Log action. This is scheduled for release later this year (2020).

The DEF will allow the user to select a template, choose a date range and also set a schedule to automate this data extract i.e. Extract previous months ‘Fly Tipping’ data every 30 days. The file will then be made available in the new ‘downloads’ screen.
